From work notes to invoice: what to jot down on the job

The slow part of invoicing is rarely the invoice. It is reconstructing the week from memory: which customer, how many hours, whether the parts were included. A good work note takes thirty seconds at the end of a job and removes almost all of that.

The five things to capture

  1. Who. The customer, and the site or project if it matters.
  2. What. The work in plain words. "Replaced the kitchen faucet and checked the shutoff valves" beats "plumbing."
  3. How much. Hours, units or the agreed fixed price.
  4. Extras. Parts, materials, travel and anything that was not in the original quote.
  5. Terms. When it is due, and anything unusual you agreed on.

An example

Northfield Dental, two hours of bookkeeping today plus the monthly reconciliation. Net 14.

That single sentence has the customer, the work, the quantity and the terms. Everything else, such as your usual rate, the customer's billing details and the tax, can come from records you already have.

Why corrections matter

Real notes get changed. "Actually it was three hours." A good process lets you say that and see the draft change, instead of starting over. Keep the original note too, because it is your evidence if a customer asks how you reached the number.

Do not skip the extras

Small-business owners often under-bill because extras live in a text thread or a receipt in the truck. If a part, a delay or a change request is not written down the day it happens, it usually is not invoiced.

General information for Canadian small businesses, not tax or legal advice. Rules depend on your province, your registration and your situation, so confirm details with the Canada Revenue Agency or a qualified professional.

Where Invo.tax fits

Type or dictate the note and Invo.tax drafts the invoice from it, reusing your rate and terms. You see every line and the full PDF, change what is wrong, and approve it. If a detail is missing, you get one question rather than a form. You can always draft by hand instead.
